Using OAMS

OAMS features and functions provide support for advisors, front counter staff, units as a whole, and directors.

Advisors

Advisors use OAMS to record, store, and share student advising information that helps students meet challenges and achieve their goals. OAMS supports advisors to:

  •  Store and recall important information from in-person, phone, and email interactions with a student
  • Prior to meeting with students, I am able to review past meetings... This way students do not have to go over in detail past situations that might be impacting their present situation. -Leah, Advisor
  •  Improve coordination of support with other advisors and staff
  •  See a list of students currently waiting in the office to see an advisor, and the purpose for the visit
  •  Keep a list of students for follow-up

Advising Units and Front Counter Staff

Depending on which features an advising unit decides to use, OAMS can help streamline tasks and services. For example,

Units may set up OAMS so that:

  •  Documents are stored electronically, saving space and time pulling files
  • Front counter staff can add students to a waiting list that advisors see on their computers
  • The front counter staff were easily able to manage and queue the large number of students who wanted to meet with an advisor. As well, we were able to match students to designated advisors based on the purpose of their visit. -Susan, Advisor
  • Other advisors or front counter staff can see when an advisor is busy helping a student

Directors:

  •  Directors can receive regular OAMS usage reports via email. Reports provide topic of discussion, volume, and other data useful for developing strategic resource and communications plans.
