Requesting SIS Access

Level of Access

Q: How do I know which access I should check off when submitting the SIS access request form?

A: If you are not sure about which permission groups to request access to, referencing a colleague who performs the same or similar job duties may help.

Visit our website, which includes information on different access permission groups (Information on Completing Access Forms).

If you are still unsure of which permission groups you require, or require specific access not listed on the access form, please complete and sign all mandatory form fields and in your email to SIS Security include details on your work at UBC.

 

Docket and Admissions Processing Areas

Q: When should I request access to an admissions processing area (Docket screen)?

A: Staff involved in the application and evaluation of prospective students, offers of admission, deferrals and appeals require access to Docket. 

If you work in admissions and require access to the Docket screen, you will need to request access to an admissions processing area. 

In the "Admissions" section of the SIS access request form, indicate whether you require view-only access or both view and update access, as well as which processing area you require access to. If you do not need docket screen access, leave this section blank. For more details on admission processing areas, refer to the admissions section of our website.

 

SISC or SSC

Q: I'm a UBC student needing access to the SISC. Can you give me access?

A: Please note that the SISC is an administrative tool used by UBC staff only. If you are looking for the the Student Service Centre, you can access the SSC at https://ssc.adm.ubc.ca/sscportal/

Employee on Leave

Q: An employee in my unit is going on leave, should I inform someone?
A: Yes. You must inform SIS Security when an employee is no longer within your unit by emailing sis.security@ubc.ca. This includes employees leaving for any reason (terminations, suspensions, leaves, etc.).

 

Using SISC

SISC-Help

Q: 

I tried accessing the SISC-Help page and it says "Access denied. This is a protected page". What do I do?

A: To access the SISC-Help page, try adding the following text (including the current date) to the webpage URL: ?siscuser=YYYYMMDD.

For example, you try and access SISC Help on January 1, 2025. If you are directed to the following webpage: https://facultystaff.students.ubc.ca/sisc-help try navigating to https://facultystaff.students.ubc.ca/sisc-help?siscuser=20250101 to access the help page you need.

 

SISC on Mac

Q: I am using a Mac and my SISC won't launch. 

A: If this is your first time using SISC on your Mac, try the following:

  1. Instead of double-clicking to launch the app, right click and select "Open".
  2. You will see a pop-up asking if you are sure you want to open the app as it is from an unidentified developer. Click "Open".

Alternatively:

  1. After you download the app and move it to your Applications folder, launch it. You will see a warning saying that the app cannot be opened because it is from an unidentified developer. Click ok and you will return to Finder. 
  2. Go to the Apple menu > System Preferences, and then click on the Security & Privacy icon.
  3. Under the General tab, look in the setting for “Allow apps downloaded from” and you should see that the app you tried to open was noticed by the operating system. Click the Open Anyway button to open that new app. A new pop-up should show up. Please select 'Open'. The SISC should open then. If not, you may need to go into your downloaded folder to open the program manually.

 

FSC

Instructor Access

Q: I am a new instructor/teaching assistant, why am I getting an error message saying I do not have access to the FSC?

A: 

  1. Access can only be granted to faculty/staff who have an active appointment. First, check with your HR department to make sure your new appointment at UBC is active/updated.
  2. Once you have confirmed that you have an active appointment, contact your department Timetable and Scheduling Representative to be assigned your course section(s).
  3. If you have confirmed that the first two steps are complete and are still receiving the error message, contact sis.security@ubc.ca.

 

Scientia

Q: I can't select months past August in Scientia.
A: The session year ends in August. To select months after August, please select the tab for the following year and then launch Web Room Booking. For example, if you are unable to select months past August in the 2018W_2019S tab, select the 2019W_2020S tab and then launch Web Room Booking.
